In the event you choose to opt out of our promotional communications, we will take all reasonable efforts to delete your personal information from our database as soon as reasonably possible. Please note that even if you chose to opt out of marketing communications, we will continue to send you important service-related communications (e.g., order confirmation or product safety information). However, these are not promotional in nature. HW Linen uses the best security available for on-line purchasing. Your privacy and security are very important to us. When you click the “Add to Shopping Cart” button, HW Linen automatically checks to see that you have a secure connection. purchases. Or, you may fax, mail or phone in your order.
As part of HW Linen’s privacy and security practices, we do not store your credit card number in your membership file or order history. We request you kindly provide us with your credit card number every time you make a secure transaction.
HW Linen is committed to treating your personal information in a confidential manner. We have put in place appropriate physical, electronic, and managerial procedures to safeguard and maintain data security, and correctly use the information we collect.
We accept Master Card, Visa, American Express, Discover, Paypal and personal checks. We do not accept COD orders at this time. Open account orders available for Healthcare Providers, Practices and Schools. Contact us for details.
Sales Tax is only applicable to orders being shipped to within New York State.
SHIPPING AND HANDLING
The shipping and handling charges are for a Standard (3-5 business day) delivery. Most orders are processed within one business day. Standard ground shipping typically takes 3-5 days depending on location and season (allow slightly more time during the winter holidays). All available shipping options for your order will be presented as you check out. We only ship to the continental 48 United States except for international shipments as outlined below.
To make changes to an order that has been submitted on our site, please call Customer Service Assistance at 844-954-6360. If your order has already shipped and if you would like to order additional items, please place a new order for the additional items on our site.
If you would like to cancel or exchange items, please follow our Return Policy. Shipping and handling charges are not refundable.

HW Linen will accept returns of most case quantities within 30 days after the delivery date. Broken case orders (Packs of 12), samples, and cut-to-order items as marked on the product page, may not be returned. Buyer is responsible for all return shipping costs. This includes shipping charges incurred by HW Linen for sending original orders with “free shipping” offers, or promotions for “Free Shipping” orders. This does not apply to a manufacturer defect or any error in your order.
Please read the conditions below before starting the return process.
To start the return process, please email us the order number, the items being returned, and the reason for the return. We will then issue you a RGA # (Return Goods Authorization Number) with instructions including the return address location to return the products. Please allow 1-3 business days for your RGA# to be generated and sent to you via email.
If, on rare occasion, your shipment arrives damaged, please email us pictures of the damaged items, along with your order information so we can send out replacement product(s) as soon as possible.
- Returns are accepted up to 30 days after delivery
- Returns are limited to case quantities only (Less-than-case quantities, samples and cut-to order items may NOT be returned)
- Returned items must be in new, unused, unwashed condition. Returns must contain all pieces in each case/bale and be packed in the original packaging.
- If the item is delivered defective, please email us ASAP with photographs. We will send you a replacement and pick up the item, and you will not be responsible for any additional charges in this case.
- Original Shipping Charges: Shipping charges incurred by HW Linen for sending the original order with “free shipping” offers, or promotions/discounted orders will be applied against the return credit.
- Return Shipping Charges: Once the order has been shipped, buyer is responsible for all return shipping charges, except in the event of defective product. Products must be returned to the correct warehouse location with an approved RGA/RMA number. Products returned to the wrong location will be subject to additional shipping charges and restocking charges of 25%.
- Restocking fees: 15% restocking fee for items unless otherwise noted. This amount will be deducted from your refund.
- Freight Line Products: All shipments damaged during the shipping process should be refused. Please inspect all packages thoroughly before acceptance. If you accept goods damaged during shipping there may be no way to return the goods for a refund.
- Please allow 1-3 business days to receive your RGA number.
- Please allow 7-10 business days after receipt for your credit to show up on your account.
